UPDATE: Oh my goodness, y'all are the greatest! It's only been a few hours, and we've already gotten enough to cover the extra room, so we'll get on that asap! Alright folks, here's the deal: We have an opportunity to improve Podfication, and we're asking those of you who can afford it if you'll chip in to make that happen.

As Jo detailed in her mini location tour, we've currently got access to two rooms for the weekend—a main hangout area, and a meeting room with two doors. The GPS space actually consists of THREE rooms, because through the doors visible in the kitchenette picture, there's a large echo-y room. When we first rented the space, that room was already reserved by the GPS group that does an annual haunted house. They have recently canceled that reservation. This means we have the option to rent that space too, so the entire suite of rooms would be ours for the weekend. Jo and I think it would actually solve a lot of potential problems we were running into.

PROS:


  • We had originally planned on using the meeting room as a split panel and recording space; only one of those would be able to happen at a time, limiting the amount of time we have available for both. If we get the large room, we can move panels to that room, meaning the meeting room can be devoted to nothing but group podfic recording space the entire weekend, and we also are much less limited in the number of panels we can run.

  • It would also allow for much easier flow between the hangout room with the couches and the panel room, without disturbing the (likely in-use) recording room.

  • We would have a room that would definitely fit everyone currently registered at one time, with plenty of room to spare. This was beginning to become a concern, because there are over 30 people registered now, and neither the hangout space nor the meeting room are terribly large.

  • In a sort of negative positive, it would PREVENT the space from being rented that weekend by a potentially loud group...like the taiko drummers, who—while lovely people!—would effectively remove already limited recording time available. The large room and the meeting room share a wall, and the walls are pretty thin. This would mean we would at least have more control over that particular sound bleeding in the recording area.


That all sounds great, right?! Well...

CONS:


The large room alone would run $269 on top of what we're already paying for the rest of the space—it would nearly double the originally planned rental fee. As it is we're already running at a loss for the rental costs, because the amount we've collected in registration fees & donations through EventBrite thus far doesn't fully cover the base rental costs.


This is where you all come in! We'd like to try to crowdfund this, so that we can make this happen and make this year's Podfication even better! Since there's a good amount of you coming, we'd only have to average <$10 donated per currently registered attendee, and we think that is TOTALLY doable.

Do I have to be registered to donate?
Not at all! If you're generous enough to throw some money our way for this even if you can't make it, you will have our endless gratitude (and hopefully be contributing to an increased number of group podfics being released afterwards!)

What happens if you guys get more money than you need for the room rental?
Like we said, we're actually already operating at a loss this year, so any additional money will immediately go to covering the cost of the existing rental fee that hasn't yet been covered. If we get money over and above all the rental costs, it'll go towards food; we'd like to provide sandwich ingredients for lunch at least one of the days (which we were planning on asking for donations for at a later date anyways), and if there's still money after THAT, it'll go towards snacks like chips and soda for the "consuite". (I use this term VERY loosely, please don't expect much XD)

If by some miracle we get more than enough for all of that, any remaining funds will be set aside in a dedicated pool for operating funds for future years of Podfication.
