What is Podfication?
An informal gathering of podfic creators and listeners! Come join us in Minneapolis for a couple days of informal hanging out, discussion, and of course recording.

When and where is this thing?
October 21st & 22nd, 2017 at the Geek Partnership Society's Event Horizon community center. (1121 Jackson St NE, Minneapolis, MN 55413)

So kind of like a convention?
Okay, Jo is finally owning up. Yes! It IS a convention. But not your typical convention because there's no hotel. The Geek Partnership Society is kindly renting us their community center rooms for the weekend.

Why Minneapolis? Isn't Minnesota COLD?
Because that's where Bess and Jo live. And look, it's PROBABLY not going to snow in October. Probably. (Also, more seriously, we have direct access to facilities and resources here, and autumn in the Midwest is actually very lovely.)

So where am I going to stay?
The Event Horizon center is a convenient bus ride from downtown Minneapolis, which has many hotels. There may also be some locals who can accommodate a few people, at their discretion. We also encourage finding roommates and renting some local Airbnb's within walking distance of the venue, which worked out wonderfully last year! You can find the post on lodgings right here.

Geek Community Center, huh? That sounds kind of neat.
Yes! And it is! But let us manage your expectations. There isn't much within walking distance of it. The ceilings are high, and it's right next to railroad tracks. The building is shared with other groups including a Christian Youth Ministry and their highly enthusiastic drummer. The sound can and will bleed between the rooms. We know it's not ideal, especially for recording, but it is a space we can all gather and talk about all things podfic!

Don't get us wrong, there are lovely things about it too! We have access to three rooms, one that has some comfy couch seating for hanging out and chatting, one for recording that's as sound isolated as we can manage, and one that can be used for panels. We also have access to a small kitchenette.

I have a question about accessibility.
We want to help accommodate any accessibility needs that we can! You can find our accessibility guide here.

Who's behind the curtain?

Get in touch. If you're not up for that much responsibility, but still want to help we'll be calling for volunteers closer to October. Keep an eye out!

Podfication is coming up fast! We hope you're as excited as we are, but it's okay if you're a little nervous too. This year we're trying out a con buddy system, so if a little more social structure would help you out (or if you can contribute a little more social structure), read on!

New to podficcing or Podfication and don't know anyone else attending? Not-so-new but feeling a little anxious about a room full of people? Want a familiar face in a crowd to touch base with or plan to go to panel or two with?

On the flip side, maybe you're a podfic veteran looking to welcome a new-to-you face. Maybe you're new yourself, but extremely gregarious and were planning to Meet All The People anyway. We'd love your knowledge or social skill sets to help other people feel a little more comfortable at Podfication.

Some things buddies could do together:
- email or Skype before the con
- plan to go to a panel together
- plan to record something together at the con
- introduce your buddy to folks (ex// "You should meet X, you both really love this obscure thing!")
- be someone to sit beside when your buddy isn't sure where to go

You don't have to be new to podficcing or Podfication to want a buddy, or to have been around for a long time to be one. The buddy system is to help people feel more comfortable and have more fun, so ask for the role that's going to make you happiest.

We'll guarantee a buddy for anyone who signs up before October 1st (matches will go out no later than October 7th) and we'll try our best with anyone who signs-up after that date.

Time to prepare for our Second Annual In-Person Podfic Love Fest! This event is an opportunity to enjoy listening to podfic in a room of people who love it as much as you do—sharing aloud the laughter, gasps, and sometimes even tears that great podfic inspires in us. But beyond that, it’s an opportunity for podficcers, who often receive little feedback, to have a few minutes of this con dedicated to showering them with in-person appreciation by fellow members of their community.

Interested?

Here’s how it will work: each participating podficcer will prepare a clip of their podfic that they want to play in the room. This clip can be from 30 seconds to 2.5 minutes, and it should be chosen with the room in mind—ideally a part with strong humor or emotional resonance that can be understood with minimal context even to those unfamiliar to the fandom. After the clip, audience members will have about 3 minutes to raise their hands and share with the podficcer, in person, what they loved about that particular clip and/or what they love about them as a podficcer. As the event name implies, this event will be for positive feedback only, not advice or concrit.

This year, we have 90 minutes for this event, which means we can guarantee a 5-minute spot to up to 18 podficcers! If we receive more than 18 clip submissions, the remainder will be put on a wait list, and if extra time becomes available we will happily use it to discuss them. (Last year, we finished early, so there's a good chance that we will again this year.) To submit clips, please email them to sekritproject@gmail.com along with the information listed below. Submissions will stay open through Sunday, October 1st.

Clip requirements: 30 seconds minimum to 2 minutes 30 seconds maximum; mp3 or wav format; file name “podficcer_partial title.mp3”

Live performance sign-ups for 2017 are now open!

This event is a chance for anyone who'd like to do a reading for a live audience at the convention. We should have enough time for 10-11 performances. It's a lot of fun!

You can do something new, something you've recorded before, an excerpt from a longer work (give us a heads up on that please), arrange or join a multi-voice performance, or whatever you like so long as it abides by the rules below!

While this is mostly an event that's performance for performance's sake, we'll be recording it. After the con, we'll post it to AO3 for everyone's enjoyment. There is an opt out if you'd rather not have your performance included and/or if you don't have author permission.

To make sure we can fit in everybody who wants to read:

  • Performances should not run longer than 20 minutes total.

  • 1 sign-up per individual.

  • In addition to a solo performance, you can participate in up to 2 multi-voice performances.


The form will remain open through September 23 30*, 2017 at 11:59pm CST.

Panel requests for 2017 are now open! Click here!

We're accepting submissions up through 11:59pm CST on September 9, 2017.

Never run a panel before? No problem! The stakes are low and the Podfication crowd is super chill. If you've got a topic you want to talk about with people for an hour, you can run a panel! Interested in running a demo, game, or event instead? No problem! Submit your idea through the same form and tell us all about it.

A few things to be aware of:

  • You can submit more than one idea!

  • If we run out of space and you've submitted more than one idea, we may have to choose between them. So if there's one topic you favor over others let us know!

  • Have an idea but don't want to run it alone? Drop a comment on this thread asking for co-panelists!

  • Would you like to help run a panel but don't have a good topic of your own? Check the comments!



Some more relevant info:

  • We'll have a screen, projector, and speakers for the panel room, but you'll have to provide your own laptop or other device to connect up to it. The projector has a VGA input. If your device exports through HDMI, we've got an adapter for that you can borrow. If all you need is audio, as long as your device has a standard audio jack you're good.

We strive to be an accessible and welcoming environment to all who attend. In some cases we're limited by our venue and resources, but if you see an opportunity to make Podfication a more accessible place, please don't hesitate to let us know! Food & Food Allergies
Cost permitting, we will have snacks and food available on a first come first serve basis throughout the weekend. If you have any food allergies, we're happy to accommodate them.

If you need some help locating a restaurant in the area that will meet your dietary needs, we'll have a restaurant guide in the programming book and quite a few locals on hand if you need a personalized recommendation! There's information directing to local pharmacies and grocery stores included as well.

Geek Partnership Society Center
Our venue, the Geek Partnership Society Center, is located in the Waterbury Building in Minneapolis. It's a ground floor only level building with wide hallways. All rooms for our event, including the restrooms, are accessible via wheelchair. Handicapped parking is also available at the building. You can see a map of the building here.

Note: There is a small 1-inch step at the doorway between room 107 and the kitchenette area. The venue should have a ramp provided, but both rooms are also accessible with no step via the outer hallway. Map showing available doors here.

Gender Identity
Expression of gender identity is embraced at Podfication and we ask everyone to respect that and the preferred pronouns of all attendees. We'll have optional pronoun stickers available for badges this year. We regret that the building's restrooms are not under our direct control and shared with other groups using the building. If you would feel more comfortable having someone accompany you to the restroom of your choice let a staffer know.

Lights
For those attendees with light sensitivities, overhead lights in the rooms can be dimmed on request.

Overstimulation
We regret that our current venue doesn't allow us enough space for a dedicated quiet room. If you're feeling overwhelmed, we recommend stepping out into the hallway which tends to be quieter. There are some outdoor picnic tables available in the parking lot as well away from the building, weather permitting. You can always flag down one of our staff and we'll do our best to help as well.

Panels
Panelists should keep their lips visible at all times for those who speech read. We do not have microphones available for panelists, but encourage them to please speak up to ensure everyone in the room is able to hear clearly. If using video or an animation via a presentation, please avoid any flashing/strobing lights.

Print Materials
If you anticipate needing a large print copy of our Programming Guide, just let us know! We'll make sure one's available for you.

Service Animals
Service animals are welcome. Please leave pets at home in deference to any attendees with allergies.

Smoking
Minneapolis does not allow indoor smoking, so the entire Waterbury Building is smoke-free. If you need to smoke, please do so in the building's parking lot and away from the doors.

For folks not in easy driving distance of the Twin Cities, you can use this post to find roommates to share a hotel room with or connect up with some of the locals who are able to host some attendees for the weekend!

The GPS Community Center is located at 1121 NE Jackson St., Minneapolis MN 55413. There are quite a few hotels in downtown Minneapolis that are an easy bus ride away. Google Maps should be able to give you the logistical lowdown on that, depending on which hotel you're looking up. Metro Transit also has your back.

Many people last year stayed in groups in Airbnbs near the venue, which worked out really well, and we highly recommend! While we'll leave actual rental & group organization up to you, we definitely encourage you to use this option :)

Note from Jo: You may be tempted to stay at the University Inn off of 4th St as it's the closest hotel to the center, but trust me and do not do the thing. Maybe something has changed in the last decade since I lived in that area, but I know it as a place to avoid and am thus passing on this important info.

Locals, if you have some guest rooms or couch space you're able to spare, please chime in! Any space available at an individual's home is at their discretion, of course.

Hey folks, we have a little poll for you over on Twitter that's open for the next week. Stop by and let us know your thoughts!

The long story that doesn't fit into 140 characters is that we had high hopes of finding an alternate venue to run another year of Podfication due to the noise issues we had last year, but life and things got in the way. It seemed like most everyone had a good time despite the youth ministry's highly enthusiastic drummer though, so we're gauging interest. Would you like if we had another Podfication this year in the GPS rooms again? Or would you prefer to wait until a future year when we can find a more appropriate venue? Dates have yet to be arranged, but if we go for it with GPS, we'd aim for mid-October again.

For those of you who have never been to GPS's rooms at the Waterbury Building before, finding the right door and the rooms themselves can be a little tricky. Here's a handy map:



If you're driving, the best way is go around to the back of the building, down Van Buren St NE. There's parking up and down it. Use the glass doors marked 1121 C to enter and the rooms will be immediately on your right!

If you're walking or if you're taking the bus, you'll have to walk down to Jackson St NE to enter the building since the street is elevated up to that point. Then just zig zag your way through the Waterbury halls to get to us. Or if you're coming from the North, cross the railroad tracks and head to the glass door entrance 1121 C on Van Buren St NE.

Hey, everyone! Podfication is just TWO WEEKS AWAY and we're busy hammering away at all the logistics, so keep an eye on Twitter and here on the comm for various updates.

We're going to need to buy all the fixings for the free sandwich lunch on Saturday pretty soon. So if you're planning on partaking and have any dietary restrictions, please comment to let us know! We want to accommodate everyone if we can.

So now that we've got the schedule out there and y'all can make some informed decisions, we're looking for some volunteers! Our needs are small, but we definitely can't do this thing without you.

10/13 Update: We appear to have all our volunteer jobs filled! You guys are amazing! :D

Here's a rundown of the various things we need help with:

Saturday Morning Setup (9:00-9:30am)
There are a lot of chairs. They mostly need to be in theater style in rooms 107 and 106A. If chair moving is your passion or even just your "Eh, I could do that" let us know! We'll also need some help setting up the soundproofing equipment in room 106A, the AV equipment in 107, and putting up signage around the Waterbury building directing Podfication attendees to our rooms.

Saturday Sandwich Lunch (~11:30am-1:30pm)
We'll provide food and plates and such, but we need a few people who can set it all out just before noon on Saturday and put it all away afterward! Or hey, if you're local and have a real knack for buying lunch meat, tubs of peanut butter, and paper plates, we'd love to let someone spearhead the pre-con portion of this endeavor too so we can stay focused on organizing everything else.
10/8 Update: We are good on this for both the pre-con organization and the setup! Thanks, volunteers!

Saturday End of Day Cleanup (~9:30pm)
Just some basic cleanup and storage duties before we leave the premises on Saturday night.

Sunday Live Performances Door Duty (1:00-3:00pm)
We'll need 3 people who can each take an hour shift each at the door during Live Performances to let people in and out of the room between the readings.

Sunday Evening Teardown (5:30pm)
All the chairs that were set out will need to be stacked up again and the soundproofing in 106A and other equipment taken down and loaded into cars before we go, plus any last minute cleaning so we can leave the nice people at GPS the rooms just as we found them.

Assorted Chair Moving at Various Intervals
We may need some folks to help us move chairs between 107 and 106A for things like the Not!Fic Extravaganza and the Live Performances on Sunday, depending on if there are enough for both rooms or not. Keep an ear out if you're available during those times because we might ask whoever's around if they can help.

To help everyone plan what they'll be recording over Podfication weekend, here's how the on site recording room (106A) is going to work!

Firstly, signups will happen on site on a first come first serve basis. We'll have a signup sheet available that will be posted near room 106A starting first thing on Saturday morning.

The room will be available to reserve in half hour sessions. We're mostly working on the honor system here, but just to make sure everyone gets access to the room if they want it, we're setting a few ground rules:


  1. Individuals can sign up for a max of two sessions of recording time. If you're participating in someone else's group project, that won't count against you. Feel free to be in as many of those as you like!

  2. Fic recorded in the room should be no more than 10k to make sure time limits aren't exceeded. If you want to take on something longer, do so by all means! It's just that doing it on site is not the best option.



We're planning to have official con time clocks set up inside and outside the room to help you keep track, but please be considerate of your fellow attendees and wrap up and leave the room before the start of the next block!

If the room is open and no one's reserved it in advance, it's absolutely okay to use it! But you absolutely need to be out of it before the next session starts. No ifs ands or buts. If you're wrapping up a session and there's no one scheduled after you, prop the door open to signal to folks that it's okay to use it.

We'll go over all this during opening remarks and info will be included in the programming guide as well.

We posted a Twitter poll about this a while back and overwhelmingly people seemed interested, so we're doing a live performance event! \o/

We've set aside a three hour chunk of time Sunday afternoon for this, which should allow for 11-12 performances. Hopefully y'all sign up and we don't end up sitting around staring at each other awkwardly that whole time.

Sign-ups will remain open through October 14th, 2016 at 11:59pm CDT. Or, you know, when I wake up the next day.

Some ground rules to make sure we can fit in everybody who wants to read:

  • Performances can't run any longer than 15 minutes.

  • 1 sign-up per individual.

  • In addition to a solo performance, you can participate in up to 2 multi-voice performances.

While this is mostly an event that's performance for performance's sake, we are planning to record it if technology allows! After the con, we'll post a copy of the recording for everyone's enjoyment. There is an opt out if you'd rather not have your performance included and/or if you don't have author permission.
